Position Summary:
We are seeking a highly detail-oriented and organized Private Jet Manager to oversee and manage all aspects of corporate private jet travel. This individual will be responsible for meticulously reviewing invoices to prevent double billing, ensuring compliance with company travel policies, and collaborating with the management company to maintain efficient private jet operations. The ideal candidate will have strong analytical skills, excellent communication abilities, and a deep understanding of corporate travel management and aircraft operations.
Responsibilities:
· Scrutinize invoices to identify discrepancies and prevent double billing.
· Work closely with the management company to ensure private jet operations are effectively managed.
· Manage aircraft scheduling.
· Monitor aircraft maintenance schedules and coordinate necessary services with aviation vendors.
· Ensure compliance with FAA regulations and corporate aviation policies.
· Manage and review fuel costs, landing fees, and other associated expenses.
· Track aircraft depreciation and related financial considerations.
· Ensure proper insurance coverage for aircraft and crew members.
· Monitor crew training requirements, ensure appropriate courses are scheduled.
· Manage crewing rosters to meet company needs and contractual obligations.
· Oversee aircraft registration, documentation, and compliance with regulatory requirements.
· Analyze flight data and operational reports to improve efficiency and safety.
· Work with pilots to optimize flight routes and fuel consumption.
· Supervise and coordinate aircraft cleaning, detailing, and provisioning.
· Conduct regular audits of operational costs and suggest budget optimization strategies.
· Review pilot expenses to ensure compliance with company guidelines.
· Manage and oversee crew payroll, ensuring accurate and timely payments.
· Manage and guide the Corporate Travel Specialist and jump in as needed.
· Assist in budget planning and cost analysis for corporate travel.
· Track travel expenses and associated costs.
· Develop and coordinate detailed travel itineraries.
· Verify and process travel changes as they arise.
· Research and book travel accommodations, including air, hotel, and ground transportation.
· Maintain a good knowledge of international travel requirements, review passenger travel documents and visas to ensure legality of travel.
· Assist with event research, planning, RSVP tracking, and on-site support as needed.
· Review expense reports to ensure accuracy, proper documentation, and compliance with policies.
· Manage payments while identifying cost-control opportunities.
· Monitor and analyze ways to cut costs and improve operational efficiency.
· Maintain records and track costs associated with corporate aircraft usage.
· Establish and manage relationships with vendors and suppliers.
· Coordinate alternative flight arrangements when the company aircraft is unavailable.
· Other duties as assigned.
Requirements:
· Bachelor's degree preferred.
· 3-5 years of relevant experience in travel management, finance, or aviation operations.
· Proficiency in Microsoft Office Suite, with strong expertise in Excel.
· Exceptional attention to detail and organizational skills.
· Strong communication skills with the ability to interact effectively with multiple stakeholders.
· High level of discretion in handling confidential information.
· Proven ability to identify efficiencies and innovative solutions.
· Resourceful and adaptable, with the ability to meet deadlines under pressure.
· Willingness to work additional hours when necessary.
· Must be available to work in-office five days a week in Stamford, CT.
Preferable:
· Experience with Leon or other similar Flight Management Software.
· Experience with ForeFlight or similar Flight Planning Software.
· FAA Dispatch License.
